Online Utility Bill PDFs as Proof of Address: What to Check

Learn how to choose an actual utility bill rather than a payment receipt, check billing and service addresses, and prepare an issuer-provided PDF for submission.

Online Utility Bill PDFs as Proof of Address: What to Check

An online utility bill PDF may be useful for address verification, provided the recipient accepts it. HSBC UK's guidance, for example, includes online utility bills among its options. Check the rules for your application before downloading or ordering a copy.

Find the bill rather than a payment notification

In the supplier's official portal, look for issued bills or statements. A direct-debit notification, payment receipt or account dashboard may show that money was paid without providing the same information as the bill. Open the file and check its actual contents rather than relying on its name.

Billing address and service address

A utility record can contain more than one address. The billing address identifies where correspondence goes; the service address identifies the supplied property. If they differ, check which address the recipient needs to verify and whether the bill provides sufficient evidence. Do not assume that an address anywhere on the page is enough.

Whose name is on the bill?

For shared accommodation, check the account holder before submitting. A bill in a landlord's or housemate's name may require a separate process or may be unsuitable for your application. If utilities are included in rent, explain this and request alternatives rather than replacing the name on the bill.

Use the issue date, not the download date

Downloading an older bill today does not turn it into a newly issued bill. A long service period also does not necessarily indicate when the document was issued. Compare the date specified by the recipient with the corresponding date on the document.

When you cannot find a PDF

Ask the supplier whether it offers an official downloadable bill, a duplicate or another eligible record. If the recipient allows a photograph of a paper bill, follow that option. A browser's print function or a screenshot should only be used where the recipient permits it.

A useful preparation checklist

If the record is wrong, have the supplier correct it. If the record is accurate but does not fit the request, ask the recipient for a different evidence category.
